(Use this form to request authorization to start-up a new Regularly Scheduled Activity.)
Activity Booking Rules
Waiver- Exclusion of Liability: The Briar Hill Community Centre Corporation, its employees, representatives, and volunteers cannot be held responsible for any liability connected with participating in the Activities offered in the BHCC. Participants in these activities do so at their own risk for injury or damages.
Fire Alarm: Prior to the start of each Activity, please point out the nearest exit and remind the participants that in case the fire alarm sounds, they must exit the building via the nearest exit and not re-enter the building until the Fire Department has given the okay. Please also note location of the defibrillator.
Every Scheduled Activity MUST have a Coordinator who is a resident of Briar Hill. The group coordinator is the link between the Activity Group and the BHCC and oversees the safe operation of their sponsored Activity. The group must follow the policies of the Community Centre. The Policy Documents are available for Download or Print on the BHCC website under the tab “About Us”.
- The coordinator determines how the Activity group is organized, example; whether the group participants are preregistered or drop-in basis. They will monitor the allowable number of participants limited by room allowances or equipment availability.
- Priority for participation in activity groups must be for Briar Hill Residents. (Please see policy regarding guests.)
- The coordinator is responsible for having the Participants sign any release forms necessary prior to joining the Activity (Please check with BHCC office.)
- Coordinators are requested to maintain a list of regular participants to enable communication if needed.
- All costs for the Activity must be covered by the Activity Participants. If the Activity has a paid instructor, the coordinator is responsible for determining fees, (not to exceed a fair market rate) and collecting fees from participants, and payment to the instructor.
- If a coordinator needs to appoint a substitute, they need to ensure the delegate is aware of all responsibilities and notify the BHCC office of the change. The activity should be cancelled if there is no Coordinator or appointed substitute attending the session.
- Coordinators or their delegate should arrive at least 15 minutes before the scheduled start time.
- The group must return the rooms to a “READY STATE” for the next user.
- Your group will be responsible for any unusual damage to the Community entre, costs for extra cleaning and/or maintenance if required. “Unusual” means damage that would not happen in the day-to-day use of the Community Centre.
