Roles and Responsibilities
The Briar Hill Community Centre is owned by the Briar Hill Residential Service Organization (BHRSO) and leased to the owners of residences in Briar Hill for their use. Two residents are appointed by each Condominium Corporation to serve as Associates as the link between the residents and the elected Board of Directors of the BHCC. The Board of Directors are responsible for running the Community Centre on behalf of the Briar Hill owners, and complying with the governing bylaws.
Associates are generally appointed for a two-year term but may serve for longer at the discretion of their respective boards.
Role of the Associate:
- Attend BHCC meetings for the Associates
- Meetings are held four times a year, approximately April (the AGM), August, November and February. In the event an Associate cannot attend another resident in their phase can attend on their behalf. A proxy form is available from the BHCC office.
- Elect the BHCC board of Directors
- The BHCC Board of Directors consists of 8 members. Elections are held during the Annual General Meeting. Notice of any vacant board position is posted in the Briar Hill eNEWS. Associates can nominate new volunteers for the Board in advance of the election or nominate them from the floor at the AGM meeting.
- Approve Finances
- The Associates are responsible for reviewing and approving the BHCC Annual Budget for the Capital Reserve Fund (previously called the Levy fund). They also approve the final year-end financial statements when presented at the AGM.
- Liaise with the Briar Hill Community Centre Office (bhcc@rogers.com or 705-435-8066).
- Notify the office about new residents or residents moving out. It is important to keep data current for the residents’ contact and phone list, eNEWS and the fob security entrance system for access to the BHCC.
- Identify to BHCC any rental residences in your phase.
- Help non computer users in your phase have access to the BHCC Web-Site, and related information and communications.
- Welcome new resident
- Meet and provide a Briar Hill Community Centre Welcome Package. Welcome packages are available at the BHCC office.
- Point out the form in the package, or the location of the online form, for registration with the BHCC. Ideally the Associate should assist with filling out the form, and deliver the information to the BHCC office if a paper form is used.
- Offer to arrange a tour at the BHCC, or direct the new resident how to get in touch with the BHCC Office to arrange a tour.
- Check again with the new resident in about a month to see if they are receiving eNEWS, are familiar with the website, or have any questions about the Community Centre.
- Inform residents
- Of upcoming events and activities at the BHCC and encourage their participation.
