Book Your Resident Private Event
(For private resident events other than AGM Meetings, Phase Events, NLGA, Duffers, NMGA Golf Events, Social / Concert Committee, etc. — Such as Birthdays, Anniversaries and Celebration of Life for Residents only. Anything else must be approved by the Board of Directors.

Resident Private Event Booking Rules
Fire Alarm:
- At the start of each activity, point out the nearest emergency exit. Remind participants that in case of fire alarm, they must exit the building and not re-enter until the Fire Department has given permission.
- Ensure that all fire exits are kept clear.
Your Group:

All participants must follow the policies of the Community Centre. If you do not have a copy of the Policy Document, please request one from the BHCC Office at bhcc@rogers.com.
- If you are using the dishwasher, kitchen, sound system, projector, or other equipment, please contact the BHCC Office to arrange instructions at least 5 days in advance of your event.

At the end of your event, ensure the facility is in “Ready State” for next user.

follow “furniture” layout and ensure furniture is put back where it came from.

vacuum and wash floor/surfaces as necessary

- The Booking Resident will be responsible for any unusual damage to the Community Centre, costs for extra cleaning and/or maintenance if required. “Unusual” means damage that would not happen in the day-to-day use of the Community Centre.
Restrictions:

Candles, votives may ONLY be used in hurricane lamps

Dishes & trolleys, if used, are to be thoroughly cleaned and put away.

The SELLING of beverage alcohol is strictly prohibited. Alcoholic beverages may be served to the guests at NO CHARGE.
- Selling of Products and/or Services is strictly prohibited.

The Booking Resident will ensure that children do not have access to the lower level without adult supervision and otherwise misuse the BHCC property.
- If the Great Room and East Room are booked, and the dividing wall needs to be opened, the BHCC Office will arrange for an experienced individual to be on hand to open and close the wall. Under no circumstances should the a resident attempt to open or close the wall without proper supervision.
Liability Insurance:

Briar Hill Community Centre has Commercial general Liability Insurance Policy which covers bodily injury and property damage for all residents. This policy does not exclude the possibility that a private event organizer could be named directly responsible in any lawsuit for bodily injury and/or property damage of a non-resident guest that occurs during the event. To avoid the risk of being named in a lawsuit, it is recommended that the event organizer obtain Special Event Insurance coverage (approximately $125 cost). Deposit

A booking deposit of $100 is required at time of booking.

A cancellation fee of $100 will be charged for cancellations within 30 days of the event.

There will be a mandatory Event Monitoring fee of $15 per hour. (Minimum 4 hours equaling $60)
